The real problem

A lot of callers don't hang up over insurance. They hang up over a flat “no.”

When a front desk hears “insurance” and answers “No, but we have a New Patient Special,” it answers a question the caller didn't ask. What they usually want to know is what this will cost, whether it's worth it, and whether their insurance can help at all. Many have a deductible to meet anyway: KFF's 2025 survey of employer plans puts the average single-coverage deductible at $1,886 among workers who have one. This playbook gives your team honest answers, real payment options and a follow-up system, without promising anything a plan might not pay.

Inside the playbook

Everything Your Team Needs
For The Insurance Call

Phone scripts, word for word

Every version of the insurance objection, plus HMO, Medicare, Medicaid, auto accident and “I need to think about it” callers, built on a simple four-step framework.

A chiropractic superbill template

A field checklist built from what Cigna, UnitedHealthcare and Aetna ask for, a fill-in layout, and the accuracy rules that keep your practice out of trouble.

A print-ready patient handout

How to check out-of-network benefits, the questions to ask the insurer, and step-by-step instructions for submitting a superbill.

Payment options that fit

Cherry patient financing, HSA and FSA, short in-house plans and packages, each with a script and the cautions that come with it.

The Medicare trap, explained

Why chiropractors can't opt out of Medicare, why a superbill isn't a workaround, and how to route Medicare, Medicaid, auto and work-injury callers.

Follow-up, tracking and a 7-day plan

A text and email sequence for insurance-first leads, a slow-season playbook, a weekly tally sheet and a day-by-day plan to put it all in place.

A script from the playbook

When the caller says “I'd rather use my insurance”

Caller
Thank you, but I'd rather go somewhere I can use my insurance.
Front desk
That makes total sense. You pay for insurance, you want to use it. Can I ask, is it mostly about the cost?
Caller
Yeah, mostly.
Front desk
Then here's what I'd check. Does your plan charge a flat copay for chiropractic visits, or do visits count toward your deductible first? And have you met your deductible this year? It's worth comparing real numbers. Our first visit is [$97], and you'll know the full cost in writing before you begin anything.
Front desk
We also give every patient a superbill to send to their insurance. If your plan has out-of-network benefits, they may pay you back part of it. I can't promise what your plan will do, but I can send you the three questions to ask them.
Every script in the playbook is honest: it never promises what a patient's plan will pay.

Common Questions

Quick Answers

Yes. Enter your name and email and the PDF downloads right away. There's no cost and no obligation. You're welcome to use the scripts and handout in your practice, whether or not you ever work with CHIROBASIX.
A superbill is an itemized statement you give a patient instead of filing a claim with their insurance. It lists dates, diagnosis and procedure codes, your NPI and tax ID, and what the patient paid. The patient submits it for possible out-of-network reimbursement.
Not for Medicare-covered care. Chiropractors cannot opt out of Medicare, and for covered spinal manipulation federal law requires the practice to file the claim, with no filing fee. The playbook explains the rules and how to route Medicare callers to a trained person.
It covers Cherry patient financing, along with HSA and FSA cards, short in-house payment plans and packages. We explain what Cherry says about its terms, the ad rules that apply when you promote financing, and why it should be one option, never the default.
The scripts are built to be honest anywhere: no reimbursement promises, no outcome claims. But insurance, advertising, prepayment and financing rules vary by state. We flag the big ones, with Florida examples, and recommend confirming changes with your state board or a healthcare attorney.
